This policy explains how School Planet (MDHP) collects, uses, stores and protects personal information, including information processed through our ERP and WhatsApp services.
1. Who we are
School Planet (MDHP) provides school and college ERP, communication and support services. Schools and institutions using the platform may act as the primary controllers of student and guardian records, while School Planet processes information to provide the requested services.
2. Information we may collect
- Student details such as name, admission number, class, section and enrolment information.
- Parent or guardian details such as name, mobile number, email address and relationship to the student.
- Academic, attendance, fee, payment and other school administration records.
- WhatsApp message content, phone number, message status and support interactions when you communicate with us.
- Technical and security information such as IP address, browser, timestamps and system logs.
3. How we use information
We use information to operate the ERP, authenticate users, provide requested student or fee information, send service and payment reminders, answer support requests, maintain security, prevent misuse, improve services and meet applicable legal or accounting obligations.
4. WhatsApp and Meta services
When you contact us or consent to receive messages on WhatsApp, we may use the WhatsApp Business Platform provided by Meta to receive and send messages. Your phone number, message content and delivery information may therefore be processed by Meta in accordance with its own terms and privacy policies. We use WhatsApp messaging only for authorised school communications, requested support and permitted notifications.
You may opt out of non-essential WhatsApp messages at any time by replying STOP or by contacting us. Service messages that are necessary to fulfil your request may still be sent where permitted.
5. Sharing of information
We do not sell personal information. Information may be shared with the relevant school or institution, authorised staff, and service providers required to operate hosting, messaging, security, support or payment functions. We may also disclose information when required by law or to protect users, the platform or legal rights.
6. Children and student data
Student information is processed for educational and school-administration purposes under the authority of the relevant institution and, where required, the parent or guardian. Children should not independently submit personal information without the involvement of their school or parent/guardian.
7. Retention and security
We retain information only for as long as needed to provide services, maintain school or financial records, resolve disputes and meet legal obligations. We use reasonable administrative and technical safeguards, but no internet-based system can guarantee absolute security.
8. Your choices and rights
Subject to applicable law and the authority of the relevant school, you may request access, correction or deletion of your personal information, withdraw consent for optional communications, or raise a privacy concern.
9. Data deletion request
To request deletion of data associated with School Planet or our Meta/WhatsApp integration, email contact@mdhp.in with the subject School Planet Data Deletion Request. Include your name, registered mobile number, institution name and admission number (if applicable). We may verify your identity and consult the relevant institution before acting. We will acknowledge the request and delete or anonymise eligible data, unless retention is required for legal, accounting, security or institutional record obligations.
10. Changes to this policy
We may update this policy when our services, legal duties or data practices change. The effective date displayed above will be revised when an update is published.
